Parish Administrator (Full-Time) 

Position overview: The Parish Administrator of St. Martin’s Episcopal Church is the person with primary responsibility for the supervision and management of all administrative functions of the parish including, but not limited to, facility maintenance and use, and all related processes and systems for the parish. The role is intended as support to the work of the clergy, staff, and parishioners. The Parish Administrator plays an essential role in the mission and ministry of the church by ensuring that the practical matters of parish ministry are well-managed. The Parish Administrator directs these efforts within a framework of shared ministry and purpose consistent with the mission of St. Martin’s and the Episcopal Diocese of North Carolina.

This full-time position reports to the Rector.

Essential Duties and Responsibilities:

Administrative Responsibilities:

· Direct the operations of the parish office including maintaining organizational calendar and posting of events

· Consult with and advises the rector and other staff on administrative, communication, and business matters

· Manage information, communication, and technology systems including parish membership database (REALM)

· Oversee and coordinate the use of space in the parish through Google Calendar for community and parish groups.

· Organize and maintain parish records

· Act as clergy clerical support with parochial reports, bishop and other church leadership visitations, sacerdotal records of all types, etc.

· Ensure compliance with diocesan and parish policies in collaboration with the rector.

· Manage compliance with diocesan Safe Church policies for staff and parishioners

· Serve as liaison to diocesan office

· Maintain a warm, welcoming, orderly atmosphere for parishioners and others who contact or visit the church including front door monitoring that provides a consistent presence Monday through Friday.

Facilities Management Responsibilities:

· Work with Sexton and Junior Warden to liaise with vendors and contractor for preventative maintenance and capital improvements of parish buildings and grounds, including annual inspections.

· Maintain inventory of church equipment and property, including the date an item was purchased or installed

· Support event management including scheduling of space, tracking of fees, communicating with rental parties

· Support of tenant management as primary contact.

· Secures provisions for a stocked pantry with items such as coffee for Sunday services and other snacks and provisions.

Parish Life Support:

· Facilitate communication for various parish events when needed such as:

o Funeral preparation – coordination with sexton for burial site preparation; ordering memorial plaque; coordination of dates/services with altar guild and flower guild.

o Wedding preparation – coordination with parish wedding coordinator, altar guild, and flower guild regarding service preparation

· Liaison and Point person for the Hospitality Ministry:

o Coordinates hospitality needs including staff coffee, large and small receptions, reserving space, soliciting event leaders and event volunteers from the parish.

Primary Gifts and Qualities:

· Attention to detail especially in terms of organizing time and prioritizing tasks; managing church database and records.

Preferred Education and Experience:

· Minimum of three years of experience as office administrator or equivalent

· Strong organizational and record-keeping skills

· Excellent interpersonal and communication skills

· Strong proficiency in word processing programs, Google suite of programs, Excel, and similar programs required as well as general comfort with online platforms and programs.

· Familiarity with the Episcopal Church helpful, but not required.

Compensation: The salary range for this position is $42,000-46,000 commensurate with experience.

o Compensation includes participation in the Episcopal Church’s Lay Employee Pension Plan.
